We are hiring a Project Manager to coordinate execution across strategy, content, and design. This is an operational leadership role responsible for translating strategic direction into structured, disciplined execution across multiple client engagements.
This role requires strong systems thinking, operational clarity, and the ability to maintain visibility and alignment across multiple concurrent projects.
Role Overview
The Project Manager ensures that strategic plans developed by the leadership team are translated into clear, structured execution across the organization.
You will coordinate the day-to-day operational management of multiple client engagements while maintaining visibility into timelines, resources, and delivery risks.
This role is responsible for ensuring that:
• Strategy becomes structured execution
• Execution remains aligned with agreed strategic priorities
• Resource allocation across accounts remains predictableDelivery risks are surfaced early
• Clients experience operational clarity and discipline
You will work closely with the CEO and CMO while coordinating a cross-functional team including strategists, designers, and content specialists.You will not need to develop marketing strategy, but you will ensure that strategic plans are executed consistently and effectively.
Key Responsibilities
Execution Planning
• Translate strategic priorities into structured monthly and weekly execution plans across client accounts.
• Maintain clear project plans that define deliverables, sequencing, dependencies, and timelines.
• Ensure workstreams remain aligned with quarterly strategic objectives.
• Identify capacity conflicts or timeline risks early and escalate appropriately.
Resource & Capacity Management
• Coordinate weekly resource planning across active client engagements.
• Maintain visibility into team capacity and utilization across retainers.
• Allocate work across designers, content specialists, and strategists to maintain predictable delivery.
• Monitor time tracking in Harvest and flag significant overages or under-allocation.
Client Operations
• Coordinate client meetings and maintain consistent operational communication.
• Prepare agendas, confirm appropriate attendees, and capture key decisions.
• Track approvals and required inputs to prevent delivery delays.
• Ensure follow-ups and action items are documented and executed.
• Maintain a structured monthly reporting cadence for clients, including summaries of completed work and key outcomes achieved.
Systems & Workflow Ownership
• Own and maintain the firm’s internal operating system across project management and documentation platforms.
• Ensure project backlogs, workflows, and documentation remain accurate and organized.
• Maintain database hygiene and visibility across the firm’s project management environment (Notion and Google Drive).
• Continuously refine internal systems and workflows as the firm scales.
Must Have
• Exceptional written and spoken English.
• Strong proficiency with project management tools and structured workflow systems.
• Comfort working within evolving technology environments and digital collaboration tools.
• Systems thinking mindset with strong attention to detail.
• Familiarity with common project management methodologies.
• Ability to manage multiple concurrent engagements without losing operational clarity.
• Reliable high-speed internet and professional on-camera presence for meetings.
• Ability to work core hours aligned with Mountain Standard Time (MST).
Nice to Have
• PMP certification or formal project management training.
• Experience working in marketing, branding, advertising, or design environments.
• Experience managing retainers or multi-client professional services engagements.
• General business or economics literacy.
• Demonstrated interest in building systems that improve team efficiency.
Working Structure
• Fully remote
• Full-time independent contractor engagement (40 hours/week)
• Core availability aligned with Mountain Standard Time (Canada)
• Occasional international travel may be required, so a valid passport is necessary
What to Expect
This role operates at the center of the firm’s operational environment and works closely with leadership to maintain clarity across all client engagements.
The Project Manager will have visibility across the entire client portfolio and will play a key role in ensuring delivery discipline as the firm scales.
Compensation Range: €28,000 – €35,000 annually (depending on experience)
